The Initial Meeting

Requesting a Quote: Start by submitting a quote request for your custom fence or deck project. A member of our skilled sales team will reach out to discuss your needs.

Initial Phone Estimate: If you have measurements ready, a Sales Representative can email you an estimated cost in no time. This is an opportunity to share your ideas and preferences, and hear about different options.

Arranging a Site Visit: To ensure an accurate cost estimate and address the uniqueness of each project, a site visit is essential. We’ll arrange to visit you on a specific date and time range (e.g., between 5 pm and 6 pm) that works for you.

On the day of the visit, our salesperson will contact you to confirm the appointment and ensure it’s still convenient for you.

The Site Visit

Purpose: Our site visit serves a dual purpose:

  • For Us: To gather essential measurements and understand your specific needs.
  • For You: To provide detailed information about our products, pricing options, and to offer creative design ideas.

Information Gathering: We take all the applicable measurements of the area to ensure a perfect fit for your project. This is also the perfect time for you to share any questions, ideas, or preferences. Your input is invaluable in helping us customize our services to perfectly align with your vision.

Post-Visit Follow-Up:

  • Quote Delivery: You will receive a detailed estimate via email within 24 hours of our site visit with your Sales Representative’s contact details so you can contact them with any questions or request pricing alternatives

CAD Drawings: Offered at no additional cost, CAD drawings enhance the planning process and are especially useful for custom deck designs, as they help visualize the space and layout. They are sent separately from the initial estimate due to the detailed nature of the work involved.

At FENCEMasters, every project receives a detailed estimate tailored to its specific components, with clear, itemized pricing. This approach enables you to understand and manage your budget and make informed decisions based on the unit cost of each element.

Our quoting process stands out for its consistency and reliability. All our Sales Representatives are expertly trained in utilizing our standardized estimating tools, ensuring uniform pricing for every customer. This transparency extends across our team, allowing for seamless access and collaboration. Our commitment to precision in quotes means that staying within budget is a hallmark of our service.

Each project type, be it custom fences, decks, pergolas, or other structures is handled by specialized estimators. This expertise guarantees that our quotes are not only accurate but also tailored to the unique needs of each project.

Signing and Confirmation Process at FENCEMasters

We believe in transparency and thorough communication throughout our engagement with you. Understanding the steps in finalizing your project with us is crucial. Here’s a breakdown of the process:

Accepting Your Estimate: If you’re prepared to move forward with your project, simply click ‘ACCEPT‘ on your estimate to begin the approval and scheduling process. But remember, it’s completely normal if you find the need to make adjustments to your project. Whether it’s a change in design, materials, or scope, adjustments are a common part of the process and we’re here to accommodate them. We assure you that these changes can be managed swiftly and effectively through email and phone communication.

Approval and Paperwork: We provide you with a comprehensive ‘BuildPage‘ – a personalized, page that outlines every aspect of your project. This BuildPage will include:

  • Detailed Scope of Your Project: A clear and concise description of the work to be undertaken, ensuring that we align with your vision and requirements.
  • Materials and Resources: Information about the materials we will use, including any relevant aspects and considerations.
  • Custom Requests and Specifications: Any specific requests or unique specifications you’ve communicated will be included to confirm that we’ve accurately captured your desires.

Our aim with these documents is not only to keep you informed and engaged throughout the project but also to establish a foundation of trust and assurance that your project is in capable hands. We encourage you to review these documents thoroughly and reach out to us with any questions or clarifications you might need.

Communication From Our Project Manager: After completing the necessary paperwork and your approval of the Build Page, the communication process shifts to our dedicated Project Manager. Here’s what you can expect:

  • Scheduling Information: Our Project Manager will provide you with detailed scheduling information. This will include your project’s estimated start week and any important dates or deadlines you should be aware of.
  • Pre-installation Preparations: We make all the arrangements to locate Gas, Hydro, Rogers, or Bell lines. You are responsible for any secondary Gas or Hydro lines on your property. Please allow a minimum of 5 business days for this step.
  • Ongoing Support: Even after the project starts, our Project Manager remains available for ongoing support and to address any additional needs or changes that might arise during the construction phase.

Our goal is to ensure a seamless and transparent process, keeping you informed and involved every step of the way.

Material Delivery

Understanding the steps of material delivery and construction will help ensure a smooth project execution. Here’s what you can expect:

Materials will arrive on or before the designated start date and will be unloaded, typically using a forklift, and placed at a convenient spot for our team, often on the side of the house closest to the project area.
Your Preference: If you have a specific location in mind for material placement, please inform us before delivery.

Excavation Process

When your fencing project involves drilling and concrete work, here’s what you need to know:

Preparation by Homeowner: Please ensure that outside water and power sources are turned on and accessible.

Drilling and Excavation: Our expert drilling team arrives equipped with all the necessary tools. They will mark out the fence lines according to the design and your provided property survey.

Handling Hard Digging: In cases of hard ground (due to rock, root, concrete, etc.), we will contact you about potential additional costs. Hard digging charges apply for unexpected drilling delays. All projects are initially quoted assuming drilling through dirt, unless specified in the contract.

Concrete Work and Site Clean-up: Holes are drilled, and concrete is poured for the fence foundation. Excess dirt from drilling is removed from the site, unless you request otherwise. Upon completing the concrete work, the site is tidied up. Note that concrete takes 24 hours to cure.

Building Overview

Team Arrival and Schedule: Our construction teams arrive on-site between 8:00 AM and 10:00 AM, depending on the equipment needed for your project. Our team parks their truck and trailer near the site, with trailers typically staying on the street overnight.

Construction Process: The crew supervisor will provide daily progress reports and an estimated completion date. We encourage you to ask questions during the building process. For inquiries beyond the building supervisor’s scope, please contact the Project Manager or your Sales Representative.

Project Completion: Your presence is highly recommended on the first and final day of construction. Upon completion, our supervisor will conduct a walkthrough with you. Your project is only considered complete when you are fully satisfied. A final cleanup is performed, leftover debris is removed, and any unused materials are neatly stacked for pick-up within a few days after completion.

Post-Project Follow-Up Process

At FENCEMasters, we value your experience and feedback. Here’s what you can expect after the completion of your project:

Final Follow-Up: Your Project Manager and Sales Representative will reach out for a final review of the project. This is an opportunity for you to share how everything went and provide any feedback.

The Importance of Your Feedback: Your honest opinions are crucial for us. We use your feedback to evaluate our employees and processes, ensuring continual improvement in our services.

Further Communication: If you wish to discuss any aspects of the project further, our General Manager is available. You can contact the General Manager through our office for any additional insights or concerns.
